Outlook newbie with LOTS of questions

I'm in an interesting situation at work. IT just implemented an 
Exchange server for Outlook use. I'm the first non-IT person to be 
converted because I'm:

tech savvy
good at training other folks
they hope I'll be an evangelist :)
they hope I'll identify the ways to make Outlook "behave" like First 
Class does, because I am a power user
my department has been elected to help "break it in" before rolling it 
out building wide
they hope I can provide guidance/ideas for how the company will use the 
Exchange capabilities (that our old client did not have)

But my old email client is still active until I give them the go ahead 
to switch it off. They are running in parallel, so I have double email 
coming in, except in-house originated emails which still go to First 
Class because my old directory listing is still active until I switch 
First Class off. When I opened Outlook for the first time, there were 
800+ emails I had already processed the week before :( Maintaining both 
Inboxes is a bear, so the incentive to make the full switch is high.

What resources would you suggest for a Outlook newbie?
What resources would you suggest for developing basic training 
materials for my staff and the random colleagues who look to me for 
hand holding?
What traps should I avoid in this process of using Exchange?
Anything you hate that you think I should recommend against 
implementation?
Should I make the leap to Outlook for GtD/Palm syncing now, or wait

I would highly recommend that you download DA's booklet on GTD & Outlook.
It is only $10.  However, if you are going to get the Add-In most of the
material in the booklet is covered in the documentation on the Add-In  (see

I think you would get a lot out of this information and right now - while
you are setting up Outlook - is the time to set it up in a GTD friendly
manner.  Additionally, this pamphlet has a lot of useful tips about how
Outlook works just in general that are VERY good to know.  They are the sort
of things us power users really appreciate.

A lot of us have purchased the GTD Add-in for Outlook.  However, I am about
to try out Don's idea of turning off the Add-In and just having a Project
list as a separate task folder.  I like the Add-in in some ways but it is
sort of  cumbersome in others.  I find that it totally depends on the
projects in my work and life whether the Add-in is worth using during
certain time periods.  I believe there is a 30 day trial option on the
Add-in.

For synching with your Palm - get Keysuite by Chapura!  It makes the
synching very, very seamless - far better than just synching with the native
palm apps.  Someone else may be able to give you all the reasons.  I have
been using Key Suite for so many years now that I forget what the native

Hi Owen,

I've been waiting for this to be released since they announced it at
the beginning of the year - I agree, it is an amazing interface but
previous (Clie) versions have been limited by the amount of memory
available, so I can only open say 8 pages of a 250 page PDF then it
gives up. I've visited the site but cannot see a trial download,
despite them saying one would be available in their press release
during 3GSM. Am I missing where the trial download is available from?

If you look into picselviewer for reading PDF files, PalmPDF does a MUCH
better job IMHO and is FREEWARE.
For Office Docs, Doc-to-Go is still my first choice (BTW it comes installed
on most devices anyhow). And you can edit the docs as well ...

I use Outlook a great deal and like it.  Having said that, I would recommend
that you have a lot of memory in your computer.

I'm a fan of taking things one step at a time.  I would also echo Viv's
recommendation of KeySuite.

Keysuite & Palm Databases

I have - with some success - synched both the Keysuite databases and the
palm databases at the same time.  Each program that uses the native
databases reacts a little different, but it was a solution for me.  Keysuite
does not recommend this.  I believe I also used Keysuite and Pocket Mirror
at the same time.

Another possibility might be to try using Keysuite to synch and for data
entry on the palm and then set Hotsynch to "Desktop Overwrites Handheld" for
the native apps.

That is true, but the major problem with using PalmPDF or DTG...which I
own both...is that there seems to be no smooth lateral scrolling. It just
seems to jump from side to side. With Proviewer, they claim you can
smoothly scroll from side to side and then focus in on one area for
instance.

Office routine - the conclusion so far

Thanks for your great tips.

After some experimentation, I have found an almost ideal solution:
David Allen's Outlook Add-in, Palm-Outlook conduit (updated) and
Agendus Professional.

The only problem is with projects, as always. The solution offered by
the add-in is not bad, but it cannot be synchronized to the Palm. More
accurately, while in Outlook next actions are linked to their
projects, in Palm there is no way to determine to which project a task
belongs. I had to resort to a workaround. There are other, minor
problems as well, but I can live with them.

Again, thanks a lot for your advice.

NoteTabPro (was: app that is used INSIDE palm desktop???)

If you work with memos (and links between memos), you can just paste
after sync the memos list in left Palmdesktop panel in NoteTabPro '( a
powerful text editor) and with a single find replace you can jump from
memo to memo with any bracketed link you've created on Palm. I've been
doing this last year without any problem.
